Position: Policy Migration Consultant (Fixed-term)

About the role:
We are seeking a dedicated Policy Migration Consultant to support our operations team on a fixed-term basis based in Port Vila, Vanuatu. Reporting to the Country Manager, the Policy Migration Consultant will manage the accurate transition of customer data into the company’s policy management system and ensure that policies are accurately setup, underwritten, documented and financial transactions are correctly attributed.
Key responsibilities:
Customer Records Management
- Create and maintain well-organized client record folders, ensuring all supporting documents and key communications are properly stored and easily accessible.
- Accurately update client information within the company’s policy management system, including product details, lines of business, sums insured, premiums, options, excesses, attribution, sub-limits, optional covers, and contact details.
- Reconcile migrated policies by verifying against payment receipts, statements, bordereaux, and other supporting documentation to ensure data accuracy.
- Conduct detailed administrative investigations across multiple information sources, collaborating with internal teams and external parties as needed to complete accurate reconciliations.
- Identify policies that are no longer active or valid and process cancellations, accordingly, ensuring records reflect their current status.
Customer Communication
- Provide customers and brokers with accurate, complete, and timely documentation and information.
- Engage proactively with customers to clarify or resolve any missing, unclear, or inconsistent information.
- Collect and update customer email addresses within the database and system to facilitate effective communication.
- Offer support to the Business Development team by assisting with policy administration and underwriting activities for designated lines of business as required.
Data Integrity and Process Optimization
- Monitor data and documentation for systemic issues, conducting analysis to identify root causes and proposing practical solutions.
- Contribute to process improvements as directed by management or project leads.
- Educate colleagues on the structure and organization of client folders, emphasizing their role in maintaining data accuracy and consistency.

- Strong communication and interpersonal skills.

- Attention to detail and accuracy in data entry.
- Ability to work collaboratively with cross-functional teams.
Qualifications:
- Customer service experience, preferably in insurance, with record management and reconciliation.
- Tertiary qualification in Business, Finance, or related field preferred.
- Currently studying or completed the ANZIIF Associate or similar.
- Proficiency in using policy management software.
- Knowledge of insurance products, policies, and procedures.
- Intermediate skills in MS Excel, Word, and PowerPoint.
