About the role:

The Executive Assistant (EA) to the CEO is a trusted partner who ensures that the CEO’s strategic, operational, administrative, and personal priorities are executed with excellence. The EA supports the CEO across all dimensions: professional and personal calendar management, leadership follow-ups, board reporting, client and intermediary coordination, event planning, and employee engagement. This role ensures the CEO’s time, energy, and focus are aligned with business impact and personal well-being.

The EA also serves as a liaison between the CEO and the senior leadership team, brokers, clients, board members, and external stakeholders. Exceptional discretion, communication skills, anticipation, and emotional intelligence are vital to success.

Key responsibilities:

Executive & Strategic Support
  • Manage the CEO’s calendar, prioritizing critical meetings, strategic planning time, and external engagements.
  • Prepare briefing documents, speaking notes, and reports for board meetings, client events, or external engagements.
  • Draft, edit, and proofread correspondence, memos, presentations, and strategic updates.
  • Track CEO-led projects, strategic deliverables, and executive-level priorities.
  • Act as a point of contact and proxy where appropriate between the CEO and internal/external stakeholders.
  • Manage CEO’s personal and professional appointments, travel logistics, expense reconciliation, and document filing.
  • Assist with personal projects, events, and logistics to ensure smooth management of the CEO’s work-life integration.
  • Support health, wellbeing, and energy rhythms for CEO (e.g., prep meals/beverages, meeting breaks, wellness scheduling if needed).
  • Provide assistance with personal matters and errands as required, maintaining discretion, trust, and professionalism at all times.
Leadership Coordination & Follow-Up
  • Coordinate communication and alignment across local senior leaders to ensure execution of CEO directives.
  • Maintain and track a live “Leadership To-Do List” to ensure all team deliverables are completed on time.
  • Follow up with department heads and management on decisions, outcomes, and action items from meetings.
  • Help prepare performance updates and key insights to keep the CEO informed of team progress.
Stakeholder & Client Engagement
  • Liaise with top brokers, clients, regulators, and strategic partners on behalf of the CEO.
  • Coordinate client engagements, follow-ups, and relationship calendars (including birthdays, key meetings, etc.).
  • Ensure a concierge-level experience is delivered for key stakeholders.
 Event Planning & Management
  • Plan and execute CEO-led and corporate events, board meetings, retreats, and offsites.
  • Manage logistics (venue, catering, travel, guest lists, agendas, budgets) for local and regional events.
  • Oversee staff celebration events, holiday functions, and client appreciation events.
 Employee Engagement & Culture Activities
  • Design and implement team engagement initiatives that strengthen culture and collaboration.
  • Manage and track recognition programs, birthday/anniversary celebrations, and internal communication.
  • Support the People & Culture team with onboarding new senior hires and coordinating leadership touchpoints.
 Administrative & Office Operations
  • Maintain organized filing systems for all physical and digital documents.
  • Ensure daily operations of the Executive Office run smoothly.
  • Manage confidential records and uphold strict discretion and compliance with company policies.
  • Support departments (including HR, Finance, Legal, and Underwriting) with special administrative tasks.

About You

  • Executive presence and emotional intelligence.
  • Impeccable organization, attention to detail, and follow-through.
  • Strong verbal and written communication.
  • High level of discretion and trust.
  • Confident with Microsoft Office Suite, cloud-based tools, project and task management systems.
  • Strong interpersonal skills and calm under pressure.

Qualifications and Experience

  • Bachelor’s degree in business administration, Management, or a related field (preferred).
  • 5+ years of experience as an Executive Assistant or Personal Assistant to C-suite executives.
  • Background in insurance or financial services industry preferred.
  • Event planning and leadership coordination experience required.
